RULES/REGULATIONS
Rules and Guidelines for Hot Works Events
- Original and Handmade Art: All artwork must be original and handcrafted by the artist and sold in person at the show. Selling items not made by the artist or misrepresenting the work or oneself is strictly prohibited. Manufactured items are not allowed. Non-compliance may result in the removal of unacceptable items and potential closure of the booth without a refund. The artist in the booth must be the individual who created the work. If more than one person contributed to the artwork, this must be disclosed on the application, detailing each person’s role in the creation of the pieces.
- Artist Presence: Artists are required to be present for the duration of the show and must personally staff their booths. A government-issued photo ID must be available at check-in upon request.
- Collaborative Work: If two or more artists collaborate on a piece, they must apply jointly. Only collaborative works in which each artist significantly contributes to the creation process may be exhibited. Ancillary activities like matting or framing do not qualify as collaboration.
- Booth Display: Your booth display at the show should closely resemble the booth photo submitted during the jury process. If any misrepresentation is detected, the show director has the sole discretion to request the removal of the display without a refund. Booth integrity is essential to maintaining the reputation of the event.
- Fiber/Bead Artists: Beading that is considered sophisticated and an art form in itself may be accepted. However, merely stringing purchased beads does not meet Hot Works’ standards. These applications will be considered on a case-by-case basis, with the decision being final.
- Booth Setup: Booths must stay within the assigned space. The front of the tent should align with others in the same row, with no items protruding into public spaces or other artists’ areas. No booth appendages are allowed, except for awnings that do not interfere with emergency vehicle access. A 2-foot space behind your booth is available for storage. Any booth-related damages are the responsibility of the artist.
- Booth Sharing: Booths may not be shared unless all artists are represented in the juried images.
- Generators: Outdoor generators are allowed but must be placed at least 20 feet away from tents and structures. Generators should not cause disturbances. If using a generator, you must provide a fire extinguisher certified within the last year and disclose the generator details in your application and a minimum of three weeks before the show.
- Prints and Reproductions: These are allowed if clearly labeled and limited to 30% or less of the displayed work. Photography, digital, or giclée art prints must be limited to editions of 250 or fewer, signed and numbered, and printed on archival-quality materials.
- Definition of Photography: Photography is defined as the creation of images using light-sensitive surfaces or digital printing processes. Digital art prints must originate from the artist’s digital file.
- Sufficient Inventory: Artists must have enough work to display and sell for the entire show duration. Artists who pack up or leave early may be excluded from future Hot Works events unless an emergency is proven.
- Artist Package: An artist package will be emailed weeks before the show, with a map and artist listing provided at least ten days prior.
- Mailing Lists: Artists are encouraged to develop a mailing list for each city where they exhibit. Hot Works can provide postcards upon request.
- Booth Assignments: Booth assignments are at the discretion of the event organizers and are typically non-interchangeable. While Hot Works will attempt to accommodate special location requests, no guarantees can be made. Corner booths are available for an additional fee and are assigned based on availability.
- Trailer Access: Artists with trailers must notify Hot Works of the trailer size at least three weeks before the event for logistical planning.
- Tents: Heavier-duty tents such as Light Dome Canopy or Show-Off Canopy are recommended. Pop-up canopies are not ideal, as they are less stable in windy conditions. All tents must be weighted down with a minimum of 50 pounds at each corner. Artists using pop-up canopies should take precautions to prevent ponding water, such as using swim noodles or hula hoops in the corners of the tent. At night, tents should be lowered in case of bad weather. Commercial tents are available for rental.
- Ground Displays: Artwork may not be displayed on the ground unless pre-approved by the event and shown in the booth image submitted during application.
- Artist Signage: Hot Works will provide an artist name sign. No vinyl banners are allowed. Additional signage must be approved by Hot Works.
- Booth Inspections: Booths will be inspected on-site to ensure all rules are followed.
- Sales Tax: Artists are responsible for collecting and remitting Michigan’s 6% sales tax. Forms can be obtained from the State of Michigan.
- Artist Statement: Including an artist statement describing your process, materials, and any notable achievements is encouraged. Please also list any recent awards or honors.
