Participation Agreement for Hot Works Art Show
- Artist Involvement & ID Verification:
I confirm that I am directly involved in creating all artwork displayed in my booth. Upon request, I will present a government-issued photo ID during check-in. - Image Use Authorization:
I grant permission to Hot Works to use my artwork images for promotional purposes related to past or future events, without compensation. - Jury/Application Fees & Cancellations:
I understand that jury/application fees are non-refundable. Cancellations made:- 60+ days before the event: Full refund.
- 30-59 days before the event: Fees may be applied to another show within one year.
- Less than 30 days before the event: No refunds.
- Event Hours & Early Departure:
I agree to keep my booth open during all event hours. Early departure is not permitted. - Weather Policy & Cancellations:
I understand there are no rain dates, and no refunds for show cancellations due to weather, natural disasters, government actions, or any unforeseen circumstances. - Insurance & Liability:
I acknowledge that Hot Works does not provide insurance for my artwork, booth, or personal safety. I am responsible for obtaining my own insurance for protection and for providing proof of coverage to Hot Works at least one week before the event. I will be liable for any damage caused by my booth or structures. - Presentation & Authenticity:
I commit to honest representation of myself and my artwork. I understand that false claims are not allowed and may result in legal consequences. - Emergency Aisles & Booth Setup:
I agree to keep emergency aisles clear of any obstructions at all times, including booth structures, artwork, and display panels. A 2-foot space behind my booth is allowed for storage, and I will ensure all work is securely stored overnight. - Damage & Accountability:
I understand that Hot Works is not responsible for damages to my booth or artwork, whether inside or outside my assigned space, due to weather, acts of God, or any other uncontrollable cause. I am also responsible for damages to neighboring booths caused by my unsecured or improperly weighted booth. - Sales Responsibility:
I acknowledge that Hot Works is not responsible for the sale of my artwork. Efforts will be made to attract art buyers, but sales are not guaranteed. - Indemnification:
I agree to hold harmless and indemnify Hot Works, LLC, and related entities, including staff, agents, and partner locations, against any damages or claims arising from my participation. - Acceptance of Terms:
By applying for the show and paying associated fees, I agree to comply with all rules outlined here and any additional event-specific rules. Hot Works reserves the right to withdraw an invitation to participate at any time, for any reason, without recourse.
